Reporting to the Special Representative of the Chairperson (SRCC)/Head of Office, the successful candidate will play a key role in ensuring efficient office operations, managing correspondence, coordinating meetings, maintaining confidential records, and facilitating communication in both English and Arabic.

About the Position

The Bilingual Secretary will support the Political Affairs, Peace and Security (PAPS) Department by handling daily administrative functions and ensuring the smooth operation of the SRCC's front office.

The role involves preparing official correspondence, translating documents between English and Arabic, organizing meetings, managing schedules, maintaining filing systems, supporting report preparation, and liaising with government officials, AU Headquarters, partners, and other stakeholders.

Key Responsibilities

The successful candidate will:

  • Provide bilingual administrative and secretarial support.
  • Type, proofread, and format official correspondence, reports, and documents.
  • Translate short documents and communications between English and Arabic.
  • Manage the SRCC's calendar and meeting schedule.
  • Receive visitors and respond to routine enquiries.
  • Coordinate meetings, workshops, and official events.
  • Prepare agendas, minutes, and follow-up actions.
  • Maintain confidential filing and archiving systems.
  • Handle incoming telephone calls and emails.
  • Assist in preparing and transmitting reports to AU Headquarters.
  • Monitor office supplies and coordinate replenishment.
  • Support day-to-day office administration.
  • Perform additional duties assigned by supervisors.

Eligibility Criteria

Applicants must possess:

  • A Diploma in Administrative Services, Office Management, Secretarial Studies, or a related field with at least three years of relevant work experience,

or

  • A Bachelor's degree in Administrative Services, Office Management, Secretarial Studies, or a related field with at least two years of relevant experience.

Applicants must also have:

  • Typing speed of at least 50 words per minute.
  • Mandatory proficiency in both English and Arabic.
  • Excellent computer skills, including Microsoft Word, Excel, PowerPoint, email, and internet applications.
  • Strong organizational and planning skills.
  • Excellent interpersonal and communication abilities.
  • Ability to maintain confidentiality.
  • Ability to manage multiple tasks under pressure.

Experience working in field missions or conflict/post-conflict environments will be considered an added advantage.
